File management on Final Cut Pro

Need tips on file management for FCP.
We just purchased Final Cut Pro for our production department. We have 4 different people working on the system at any given time. What is the best way to organize our files so they don't get deleted by someone else. We try to point the media to our specific folders, however sometimes things fall through the cracks. Is there an easier way?
